My father passed away last year and we had absolutely no idea where his documents were kept. Everything was in boxes in the storeroom at his house — land grants, bank papers, old correspondence, things none of us had seen before. Lim came for the inventory visit and within the week we had a proper written list of what existed. That alone allowed our solicitor to start work. We later did the full Vault Programme and now the whole archive is indexed and labelled — my siblings in KL can follow it without me having to walk them through anything.

We had a lot of objects — jewellery, ceramics, a few items that had come from my grandparents. None of it was written down anywhere. The cataloguing programme produced a record I can actually show people. Each piece has a description, a photograph and a note about where it came from, in my own words as I told it to Suraya. The scheduling took a bit of flexibility on our part because we have a busy household, but that was sorted without any problem. Very glad we did it.

I was referred by my solicitor, who mentioned that clients who come in with an organised inventory take far less professional time to process. That is exactly what happened. After the inventory visit, we had a document our administrator could work from immediately. I appreciated that Estatica was very clear about what they do and what they don't — they described everything as general information and administrative coordination, which is accurate. No overstepping.

What I valued most was the pace. I was not ready to go through everything quickly — there were papers from my late husband that I found difficult to look at — and at no point did anyone indicate that was a problem. Sessions paused when they needed to. The written notes after each session helped me know where we were and what was left. By the end of the Cataloguing Programme, the archive felt manageable for the first time.

We engaged Estatica for the inventory visit after my mother-in-law's passing. We were not sure it would be enough — there was a lot of material. But actually the inventory was sufficient for our purposes. We handed it to the administrator and she could work from it directly. The gap list was particularly useful; it told us which documents we needed to obtain copies of. We stopped there and it was the right decision.

The Vault Programme covered two properties — my uncle's house in Kuching and a secondary property he had. The team inventoried both, separated what was active from what was archival, scanned the documents and built an index I can search on my laptop. Three walkthroughs with the family meant everyone understood what was where. The orientation document has already been useful when a cousin asked about a specific land title. I would recommend this to any family with records spread across more than one location.

Three Detailed Engagements
CHALLENGE
Three adult siblings living in Kuching, Sibu and Kuala Lumpur needed to settle their parents' estate, which included a house in Kuching, a longhouse lot in the interior, and twenty years of mixed documents across both properties. No one knew what existed or where the key papers were.
WHAT WE DID
Vault Programme across both properties over 15 weeks. Full inventory of all containers at both locations; active records separated from archive; all paper documents scanned and indexed; objects photographed and described; orientation document written; two walkthrough sessions held with family members joining remotely.
OUTCOME
Solicitor received the indexed archive and confirmed the administration could proceed without additional document searches. The family now holds a searchable digital record that all three siblings can access independently. Duration: 15 weeks.
"Having the index meant our solicitor could identify what we had and what we needed to source, rather than spending hours sorting through boxes themselves." — eldest sibling
CHALLENGE
A household in Padungan held a significant collection of family objects accumulated over four generations — ceramics, jewellery, textiles, photographs and written correspondence. None of it was described anywhere, and family members disagreed about which items had been given to whom by whom.
WHAT WE DID
Cataloguing Programme over 7 weeks. 163 objects photographed on neutral ground, measured and described in plain language. Provenance notes recorded in the family's own words over three sessions. Cross-links tied objects to correspondence mentioning them. Storage checklist produced for fragile textiles.
OUTCOME
Family has a printed and digital catalogue they can show to any valuer or specialist they choose to consult. Disputes about provenance have a written record of what was said. The catalogue is held on the family's own drive. Duration: 7 weeks.
"The provenance notes are in our own words, which matters. We could describe each piece the way the family knows it." — household owner
CHALLENGE
A recently widowed resident of Kota Samarahan needed to understand what her late husband had kept — a room of documents and a storeroom of mixed items. She had a solicitor ready but did not know what to hand them. She was not sure whether she needed a full programme or something simpler.
WHAT WE DID
Single inventory visit. All material reviewed over 2.5 hours. Written inventory produced within 3 working days, with a gap list of documents that appeared to be absent and a note describing what a fuller engagement would involve.
OUTCOME
The inventory was sufficient. The solicitor confirmed all key documents were present and could proceed. The gap list identified two documents that needed to be sourced, which the client obtained before the administration was filed. No further engagement was needed. Duration: 3 working days.
"I am glad I asked whether a small visit was enough rather than assuming I needed the full programme. It was exactly what we needed." — client
