Estatica ("we", "us", "our") is a records organisation service operating from 33 Jalan Song Thian Cheok, 93100 Kuching, Sarawak, Malaysia. We are the data controller for the personal information we hold about you.

This policy explains what personal data we collect when you use our website at estatic.sbs or contact us about our services, how we use it, how long we keep it, and what rights you have over it. We take data handling seriously, particularly because the nature of our work brings us into contact with sensitive household information.

Information you provide: When you submit our contact form or write to us, we collect your name, email address and, if provided, your telephone number and the content of your message.

Information collected automatically: Our website may collect standard access logs (IP address, browser type, pages visited, date and time of access) for security and performance purposes. This data is not used to identify individual visitors and is not linked to enquiry submissions.

Cookies: We use essential cookies required for the website to function. Optional analytics and preference cookies are set only if you consent via our cookie notice. See our Cookie Policy for details.

Household information shared during engagements: When you engage us for on-site records work, we may view and record details about household documents and objects. This information is held only for the duration of the engagement and is delivered to you. We do not retain it after the programme closes.

Legal basis for processing: We process your contact details on the basis of your consent (when you submit the enquiry form) and, if an engagement proceeds, on the basis of a service contract between us. We process website access logs on the basis of our legitimate interest in maintaining a secure and functional website.

Retention: Enquiry correspondence is held for up to 24 months from the date of last contact. If an engagement proceeds, engagement records are held for 7 years after close of the programme for compliance with Malaysian accounting requirements. Website access logs are deleted after 90 days.

We use the personal data you provide to: respond to your enquiry; discuss and arrange the programme scope; deliver the agreed programme; issue invoices and receipts; communicate about the progress of on-site sessions; and, with your agreement, send follow-up information relevant to your engagement.

We do not use your data for marketing to unrelated parties, do not sell or share your personal data with third parties for their commercial purposes, and do not use your data for automated decision-making.

We may share your data with third-party service providers who help us operate our business — for example, email hosting or cloud document storage — under appropriate data processing agreements. These parties process data on our behalf and under our instruction only.

We may disclose personal data if required to do so by Malaysian law, court order, or the direction of a regulatory authority.

Our website uses HTTPS encryption for all data transmitted between your browser and our server. Access to enquiry records and engagement files is restricted to Estatica staff involved in your programme.

Household documents and objects remain physically in your home throughout any on-site programme. Digital files produced during the programme are delivered to storage you own and control; we do not hold copies after delivery.

In the event of a data security incident affecting personal data we hold, we will notify affected individuals and, where required under Malaysian law, the relevant authority within a reasonable period of becoming aware of the incident.
