Estate records in Malaysian households rarely arrive in neat folders. They come in plastic bags, shoeboxes, bundled with rubber bands that have dried out, on drives that have not been opened in years, and sometimes wrapped in newspaper as a form of filing. We have worked through all of these arrangements and we begin without assumptions about what we will find or how long it will take. The written scope we agree before starting accounts for uncertainty from the beginning.

We use the same reference format, photography standard and indexing structure across every session in an engagement. This means the catalogue produced after the third session fits alongside what was produced in the first, and the whole thing reads as a single coherent document rather than a series of notes taken on different days by different people. A family member who joins the engagement partway through can see how the earlier sessions are recorded and follow the same logic.

Scanned documents, catalogue spreadsheets and object photographs are delivered in open formats — PDFs, JPEG, CSV or XLSX depending on content — onto a drive the family provides or one we can source at cost. We do not use cloud storage services as the primary destination for family records, and we do not hold files on our own systems after delivery. The format choices are practical: these files should be readable on any computer in ten years without specialist software.

We work in people's homes, often at a difficult time, and we treat that accordingly. We do not rush through rooms or push to cover more material than is comfortable. If a family member needs to stop and talk about what they have found, that is part of the session. If the household needs a break of several weeks between sessions, that is arranged without any pressure to maintain a particular schedule. The engagement adapts to the family, not the other way around.

Each programme has a defined scope and a defined set of outputs. At the end of the engagement, the family receives everything described in the original agreement, we confirm delivery in writing, and the engagement closes. We do not create ongoing dependencies or recurring charges. If the family later needs a further programme — say, a second property or a subsequent generation — that is a new engagement discussed and scoped from the beginning.

Stopping at the Inventory is a Valid Outcome
We say plainly on our website that proceeding only as far as the written inventory is a sensible choice for many households. Some families need the catalogue; others need only to know what exists. We do not treat an early stop as an incomplete engagement.
Sarawak-Specific Familiarity
Land tenure arrangements, registered native customary rights documents and multi-language household records are common in Sarawak households. We work with these regularly and build the inventory around them without treating them as unusual.
No Proprietary Platform Lock-In
The files we produce are in formats any computer can open. The family does not need to pay for software, maintain a subscription, or contact us to retrieve their own records. The catalogue belongs to the household from the moment it is delivered.
Fixed Programme Price, No Hidden Scope
Each programme is quoted at a fixed RM amount, and the included scope is written out before the engagement begins. Travel within Kuching and labelling materials used during sessions are included. If something falls outside the agreed scope, it is discussed and quoted separately before any additional work proceeds.
